In , Microsoft received a letter of endorsement for Office from a group consisting of all the data protection agencies in the European Union. To help customers meet specific compliance requirements for their industries, and to enable demonstrable control to auditors and regulators, a whole slew of customer controls are in place.

For example, customers can access the Office service logs so that they can show how data has been processed and managed. Many other controls allow clients to customise for compliance purposes. Service reliability is therefore a key risk when moving to the cloud. Again, Microsoft sees transparency as a key means of addressing doubts about reliability.

It publishes uptime reports that show that the Office service has never dropped below its As a customer, you also have access to an Office service health dashboard of impressively detailed and granular data and reports surrounding your own service. And this final point brings me to my conclusion. Because surely any evaluation of a cloud service like Office has to be done in comparison with the in-house alternative delivered using smaller resources, less expertise, and more rudimentary functions.

Not moving to the cloud may represent the bigger risk for many organisations. For more detail go to the Office Trust Centre. Take a look at our recent work. Monitor apps for your SharePoint Online environment describes how to monitor apps from the Admin dashboard.

From the Microsoft home page, click Admin center, and then click Usage. Go to the 'View' tab and click on 'Collections' to see the collections in your PowerApp.

Only one collection should be shown in this case. In the screenshot above you'll see some grey boxes. If you click the box you will see the contents of the object. In this PowerApp we also need to select a cost center.

This selection is then, together with the tier lever, used to determine the approver. Insert a drop down control in your app on the main screen name it 'ddlCostCenter' 2: Open the advanced properties of the control an remove the default value 3: Add the following syntax to the 'Items' field.

So we have a tier level depending on the quote, the selected cost center and a data collection from our SharePoint list. Let's combine these three to show the name of the manager. Create two new labels, the first one is just a label. The second one will contain the name of the manager. This syntax first filters all values according to the selected tier level.

And from that collection of data does a LookUp on the Cost center column. When a value is found, it shows the display name from the person group field. Because it's a person group field it's possible to use all available data in that object. For example; use the profile picture of the user: A nice excercise for you would be to create a new list item in another SharePoint list with the data you've fetched here: SharePoint list The first step is to create a SharePoint list which contains your data.

Okay, the SharePoint part is done right now. Next up is the PowerApp. Select the label 'valueTierLevel' and open the advanced properties of the label field. Data collection The advantage of using collections is that the data is fetched only once and reused throughout all your screens and forms. This will create a collection named 'CollectionTier' with all data from the data source 'Tier' see step 4 above ClearCollect Collectionforblog, Tier Trigger the data collection 3: Only one collection should be shown in this case In the screenshot above you'll see some grey boxes.

Filter the data from the collection In this PowerApp we also need to select a cost center. The second one will contain the name of the manager 2:

For optimum performance, we recommend storing no more than , files in a single OneDrive or team site library. Although SharePoint Online can store 30 million documents per library, for optimum performance we recommend syncing no more than , files across all document libraries. You, as a global or SharePoint admin, don't need to divvy up storage space or reallocate space based on usage. That's all handled automatically: sites use what they need when they need it. If you previously set storage limits manually and switch to using pooled storage, SharePoint resets all the limits to 25 TB ( GB). It would be 1 TB per organization plus GB per license purchased. Have a look at this link for more details (Click on the 'Limits for current Office for business plans'). Remember that you will also get 1 TB of OneDrive storage per user.

He has over 20 years of software development experience with most of that time spent in software consulting. This value must be between MB and GB note: When you create a site collection, the server resource quota is decremented from the pool immediately, but the storage quota is not decremented from the pool until the process of creating the site collection is complete.

Similarly, when deleting a site collection, the server resource quota is placed back in the pool immediately, but the storage quota is not put back in the pool until the delete is complete this takes several seconds or minutes just like creating a site collection. Even though the site collections are still available for restoration from the site collection recycle bin within the tenant admin screen , they do not count against the totals for storage quota or resource quota. If you are close to exceeding the storage quota, the site collection administrators should get an email once the storage surpasses a certain percentage of the quota.

The email sent to the site collection administrator mentions the site URL and has a link to the storage metrics for the site. Unfortunately, this email appears to only go out once per week Sunday morning at In addition to an email, if a site collection administrator or site owner visits any document library in the site, a warning banner is shown at the top.

This appears to only show for document library pages and is only seen by site collection administrators or site owners. While the email may not be sent immediately, the warning banner is shown immediately. SharePoint Online will let you add content until you have exceeded the quota. Once you have exceeded the quota, however, no other updates can be made.

When you have exceeded the storage quota an email is sent to the site collection administrator well, it is queued to be sent over the weekend just like the warning email. The email mentions the site URL, has links to the recycle bin and storage metrics for the site, and displays the site statistics current usage.

In addition to an email, a message is shown at the top of every page in the site. Unlike warnings, this message is seen by all users and is shown on every page of the site. You cannot add content to a site that has exceeded its quota. This is true even if you are a site collection administrator or global tenant administrator. If you try to add a list item, it fails when you click Save. You see a similar message when changing list items. So, you need to remove items from the recycle bin at a minimum.

Note that unless you are a site collection administrator you can only see your personal recycle bin. This will take you to the administrative recycle bin page where you can see end user recycle bin items for all users as well as items deleted from the end user recycle bin the second stage recycle bin. Note that you do not need to delete items from the second stage recycle bin in order to clear up space; they apparently do not count against the usage.

Hopefully this gives you a good summary of what the storage quota is and how administrators and end users are affected by the quota. The worst part is likely that there could be a 7 day delay for site collection administrators getting notified for the warning or exceeded email message.
